Working with a Timetable

A timetable is a great way to keep track of the flow of a show and keep everybody in sync with last minute changes to the lineup.

Creating and Editing a Timetable

You create a Timetable by going into the Timetable tab and hitting the big Add+ button. Ba-da-bing! A new Timetable with a single Cue has been made for you.

At this point you’ll want to adjust the default start and end time to the actual time you need. There’s an infinitesimally tiny chance that the name of the act will match the random name that HeadsUp picked but otherwise you can double click the name to change that as well.

Now simply add more Cues for each event in your show. New Cues will automatically start when the previous cue has ended and use the same length and Category of the previous Cue.

You can of course use different Categories to highlight different events. For instance, DJ acts can all be orange, bands can be purple and changeovers can be marked in grey. If you need a Category that doesn’t exist yet, simply make one in the Categories tab.

To delete a Cue, hit the red X next to it.

HeadsUp will understand that shows go all night, so you can simply enter 01:00 – 02:00 for the start and end times of a Cue that happens after midnight. It will always keep Cues in order, using the longest gap between Cues as the start point of the show.

Tip! It’s perfectly fine to overlap events. For instance, if you have an event that consists of multiple smaller events, like an single act that has an intro, a live singer coming on stage for a specific track and an outro, you can have a single Cue that covers the timeslot of the whole act and individual Cues for each sub-event. HeadsUp will still understand what is going on and order the Cues appropriately.

At the top, you can rename your Timetable to something more sexy. Also, if this particular Timetable is really not doing it for you, you can delete it completely by using the Actions menu.

Adjusting during show

Shit always happens during show, so when you go overtime, you can quickly hop in the timetable and adjust the end time of a Cue with the white plus button on the right. Each press will add a minute to the Cue end time and it will shift all following Cues along with it.

When you make up for the lost time somewhere later during show, you can subtract minutes from a Cue in the same way. All subsequent cues will follow so the overall show won’t go over time.

Playing back a Timetable

To play back a Timetable, switch to Internal Clock above the timecode display. HeadsUp will automatically switch to the Timetable if it wasn’t already selected.

Again, HeadsUp will understand just fine that 23:59 turns into 00:00 at midnight and just deal with this like time didn’t just make a crazy 24 hour leap into the past.
